Job description

The Montreal Port Authority is looking for an Executive Assistant to assist the CEO in the performance of their duties. The incumbent will provide a high level of administrative support through a variety of organizational and communication tasks. The successful candidate will demonstrate leadership, efficiency, initiative and maturity.

Responsibilities

  • Provide support and follow-up on strategic projects reporting to the CEO on a variety of issues, including preparation of presentations to the Executive Committee or Board of Directors.
  • Screen calls and manage the CEO agenda, including making arrangements for travel, meetings and events. Respond to routine correspondence.
  • Perform assessment of files for the CEO to prioritize for processing.
  • Plan and coordinate the execution of administrative tasks and work required by the CEO.
  • Act as a liaison between internal and external stakeholders and act as a resource person.
  • Work with all the departments involved in setting up various committees.
  • Participate in the preparation, drafting, verification, editing and consolidation of documents and presentation materials.
  • Organize and coordinate meetings, workshops and videoconferences and facilitates follow-up activities.

Qualifications

  • College diploma (DEC) in office work and 10 to 15 years of relevant experience or other equivalent combination of education and experience.
  • Excellent knowledge of the Office 365 suite
  • Knowledge of SAP is an asset.
  • Spoken and written bilingualism: French and English
  • Strong capacity for analysis, anticipation, creativity, adaptation and rigor.
  • Strong resistance to stress.
  • High level of ethics and ability to always maintain strict confidentiality.
  • Flexibility, proactivity, efficiency and enthusiasm
  • Excellent organizational and logistical skills.
  • Rigor and attention to detail.
  • Management of priorities and compliance with sometimes tight deadlines.
